But what happens when you e-file truck tax Form 2290 only to find out it was later REJECTED by the IRS? The last thing you want to find out is about a rejected 2290 on the truck tax due date!

Today, we’re going to examine why your 2290 may be rejected.

Rejected Because of EIN


Sometimes, filers will find that their Employer Identification Number is the source of their rejection.

This can sometimes happen if the EIN that you entered doesn’t match the EIN the IRS has on record.

If that’s the case, you need to contact the IRS directly to find out what information they have in their system.

If you have a brand new EIN, it will take on average about 10 business days for the EIN to register in the IRS system for you to e-file.

If you try to e-file your 2290 the same day that you receive your EIN, it will be rejected and the reason will be the "EIN does not match business name".

After your new EIN is registered in the IRS system, you can simply re-transmit your 2290 return (for free) and it should be accepted as long as there aren’t any more errors.

Rejected Because of Duplicate Filing


Your 2290 can only be accepted by the IRS one time. If you receive this particular rejection, it means your 2290 has already been filed and confirmed by the IRS.

The good part about this rejection, is that it requires no fix because your return has already been filed!

Rejected for Routing Issues


If you face a Routing Transit Number Rejection, it has to do with your payment. If you paid using the Electronic Funds Withdrawal (EFW) option, a bank routing number is required.

If the wrong information was entered for your routing number, your 2290 will be rejected. You can correct the routing and re-transmit to the IRS and should receive confirmation of acceptance in only a few minutes.

Note: If you entered the incorrect routing number or bank account number and the return is accepted, it is up to you to contact the IRS to resolve the issue. For best practices, always double check your numbers before transmitting your return to the IRS.

Get IRS Approval: 5 Mistakes to Avoid

Okay, Trucking Nation. It’s hard to believe it, but there’s less than two weeks until the HVUT Form 2290 filing deadline! With so little time left, it can be tempting–especially on a #ManicMonday morning–to want to file as quickly as possible and get it out of the way!

But in our haste, we need to be careful not to make careless mistakes! A rejected return only means having to do it all over again, and no one wants that.

Of course, with hundreds of thousands of E-filers out there, the occasional mistake does slip through! So here are five mistakes to avoid, straight from the E-filing experts themselves!

  • 1. Incorrect First-Used Month: This error may not get your return rejected, but it will cause issues when it comes time to get your tags. The tax year for HVUT begins July 1st. This means that for all renewals (trucks that have been in use already), the first-used month is automatically July, even if you’re filing in August. The only time you’d choose a later month is if the truck is purchased after the beginning of the tax year. For example, if you purchase a new truck in September, then that would be the first-used month.




  • 2. Name or EIN Mismatch: Your name, business name, and EIN must match exactly what the IRS has on file. If any of these are different, the return will be rejected. If you are unsure of the name or EIN on file, you should quickly call the IRS to verify. The IRS EIN Hotline is 1-800-829-4933.
  • 3. EIN Not Registered: So you’ve already registered for an EIN, but the IRS isn’t showing any record of it. This is normal if your EIN is new. It takes up to 10 business days for the new EIN to be entered into their system. This means that today is the last call for registering a new EIN in time to E-file! Apply for one online at www.irs.gov/businesses/small.
  • 4. VIN Errors: These 17 little digits can make or break your return! Most often, incorrect VIN numbers lead to a duplicate filing error. This occurs when you accidentally try to file a return for the same truck more than once. The IRS will only allow a VIN to be processed once within the tax year. But again, there’s good news! When using the Bulk Upload option to import your vehicle information from a CSV or Excel file, our system will let you know right away if you’re uploading duplicate VIN’s.   • 5. Incorrect Bank Routing #: This nine digit bank code can be found along the bottom left of a check, just before your account number. If you elect to pay your taxes by EFW (Electronic Funds Withdrawal), you will need to enter this information correctly, or your return may be rejected.

Fixing a Form 2290 Duplicate Filing Error

Well, Trucking Nation, we’re in the throes of Form 2290 filing season with just about a month left until the deadline. You know what they say, time flies when you have taxes to file!

A duplicate filing error occurs when a particular vehicle has already been processed by the IRS that tax year. The IRS only accepts one filing per V.I.N.(vehicle identification number) per tax year. In other words, you
cannot file your HVUT for the same vehicle more than once a year.

How To: Retransmitting a Rejected Form 2290

Every now and then, a transmitted 2290 is rejected by the IRS. So thank goodness you e-filed with ExpressTruckTax.com and know right away and why it was rejected. There are numerous reasons for rejection, but for our example we will be using the "Incorrect EIN/Business Name" to demonstrate how to re-transmit a rejected return at no cost. The re-transmission process is simple...

You took your time e-filing  Form 2290 and made sure to have the correct VIN and payment information. Then you receive an email notification stating that your 2290 has been rejected - oh no! Before you start to panic, we have included the reason for rejection (which is Incorrect EIN/Business Name for this scenario) and instructions to re-transmit your corrected return at no cost.

You will need to log into your ExpressTruckTax.com account and you will see the return listed on your Dashboard Page. To view the error, select "Rejected by IRS". Select "Fix Me" to the right of the listed error in the pop-up box. This will take you to your business information, where you notice your EIN is incorrect. All you will need to do is update the information, then go back to your Dashboard Page and select "Fix Errors." Your return will come up and you can review the information one last time to make sure everything is correct, then simply select "Transmit Your Return."


Once your re-transmitted return is accepted by the IRS, you will be sent a notification e-mail with your Stamped Schedule 1 attached. A copy of your Stamped Schedule 1 will be saved in your ExpressTruckTax.com account, as well as, a complete copy of your 2290 if you ever need it. IRS Form 2290 Reasons for Rejection: Name Control

E-filing with the IRS is like being on a dating game show. If you do not do everything the way they require it, you are rejected. But unlike a dating game, the IRS does give you a second chance, and a third, and a fourth, and...well you get it. When using ExpressTruckTax.com, you can resubmit a rejected return as many times as you need to win acceptance from the IRS.

In the first part of the - Understanding IRS Form 2290 Reasons for Rejection  Blog Series - I went over the most popular reasons for rejection we see here at ExpressTruckTax. There are a few more that you should be aware of to avoid IRS rejection, the first is Name Control Rejection.

What is a name control?
For the IRS to process your return, they use a name control ( a sequence of characters derived from a taxpayer's name). The name control and EIN must match for the return to be accepted.

When you apply for your Employer Identification Number (EIN), the IRS establishes your name control from the legal name listed on the Form SS-4 Application for Employer Identification Number.

Why is the name control important?
When e-filing your 2290 with ExpressTruckTax, the EIN and name control needs to match what is listed in the IRS e-file database. If what you entered on the return does not match what the IRS information for your business, then the return will be rejected.

Can I verify my corporation's name control prior to e-filing?
You sure can. Here is where the IRS is so sweet and considerate because they provide a handy-dandy Business & Specialty Help Line at 1-800-829-4933 to check your information prior to e-filing. The hours of operation for the help line are 7am - 7pm local time, Monday through Friday.

If my return is rejected due to  name control mismatch, what do I do?
First, make sure to stay calm, this a fixable problem. Your next step is to check the EIN on the rejected return and make sure it is correct. (REMEMBER: If it is a brand new EIN, it will take up to 10 business days to register in the IRS e-filing database.) If everything looks correct and you are still getting rejected because of EIN/Name Control mismatch, the IRS asks for you to call the e-Help Desk at 1-866-255-0564 and follow the prompts for assistance.

Understanding IRS Form 2290 Reasons for Rejection

It's TruckerTuesday, and I hope you've got your ears on for some important information regarding your 2290 HVUT.  IF you don't know what a 2290 HVUT is, let me fill you in...

Form 2290 Heavy Vehicle Use Tax, is required to be filed by the IRS if you operate a truck or other vehicle categorized as a heavy highway motor vehicle on public highways. When you e-file Form 2290 with ExpressTruckTax.com your receive a Stamped Schedule 1, which serves as your proof of payment (or proof of filing if tax is not applicable) and needed at the DMV to register your tags. A copy of your Stamped Schedule 1 should be kept in your cab with all your other required documents just in case, especially with the big Road Check 2014 coming up June 3-5. 



One of the best ways to avoid having your 2290 rejected by the IRS is to know the most common reasons for rejection:

Mismatch of EIN with Business Name
This particular rejection can have two meanings:

     1. The EIN that you entered does not match what information the IRS has on record. You can always call the IRS Excise Hotline at 1-866-699-4096 to find out what information the IRS has in their system.
     2. If your EIN is brand new, it takes - on average - 10 business days for the EIN to register in the IRS system for you to e-file. So if you try to e-file your 2290 the same day you receive your EIN, it will be rejected and the reason will be the "EIN does not match business name". When your EIN is registered in the IRS system you can simply re-transmit your 2290 return (for free) and it should be accepted as long as there are no other errors.
Routing Transit Number (RTN) Rejection
If you choose to pay your 2290 excise tax (if any) using the Electronic Funds Withdrawal (EFW) option, a bank routing number is required. If you enter the wrong information for your routing number your 2290 will be rejected. You can correct the routing and re-transmit to the IRS and should receive confirmation of acceptance in only a few minutes.
 - Please Note: If you enter the incorrect routing number or bank account number and the return is accepted, you will need to contact the IRS to resolve the issue. So it is best to double check your numbers before transmitting to the IRS. 

Duplicate Filing of IRS 2290
Your 2290 can only be accepted by the IRS one time. If you receive this particular rejection, it means your 2290 has already been filed and confirmed by the IRS.

To avoid receiving a rejection notice, make sure your EIN and business name are correct and double check your banking information. If you do not have an EIN, you can easily apply for one on the IRS website. It is best to get one now so your EIN will be registered in the IRS filing system long before the 2290 deadline.
