  • 1) EIN (Employer Identification Number) or VIN (Vehicle Identification Number)

A unique EIN is assigned to each company operating in the US as a form of identification for tax purposes. Your EIN should be a string of 9 numbers, presented in this format: 12-3456789.

Since this number looks similar to a social security number, filers often confuse the two, causing the IRS to reject the 2290 Tax Form.

Keep in mind that it takes 10 business days for the IRS to update its database with a new EIN. If you’re applying for a new EIN, do so at least a month before you e-file IRS 2290 to avoid delays.

Your VIN should be 17 characters long and include both numbers and letters. Check your VIN before submitting your 2290 Tax Form. If incorrect, your IRS Form 2290 will be rejected.

The best online tax filing is quick. Don’t waste unnecessary time with mistakes. When you e-file 2290, double check your Form 2290 for 2019 and ensure that your EIN and VIN are correct.

  • 2) First Used Month or Filing Year

When filing IRS Form 2290, make sure you use the correct filing year.

If you’re new to trucking, the numbers used for necessary forms may be a bit overwhelming. There’s the 2290s, 8849s, 4868s, 1099s, and 123s. Okay.. we might be exaggerating with the 123s, but you get the gist, it’s a lot of forms and a lot of numbers to remember. We won’t bore you and got through each form 1 by 1, but we will tell you about the two most relevant ones for this filing period.

What is Form 2290?


The form that you have probably heard the most about, as of late, is Form 2290. What is Form 2290, and how does it relate to you, if at all?!

Form 2290 is used to figure and pay the tax due on highway motor vehicles used. Your next question is probably does it even apply to you, and the answer is it might. All vehicles with a taxable gross weight of 55,000 pounds or more than travel by highway is required to file a Form 2290.

After paying taxes you will be given a Stamped Schedule 1 that serves as proof of payment from the IRS. This document is important, as it is needed in order to register your commercial vehicle.

Do You Need to File Form 8849?


There are exemptions and claim suspensions that apply to some vehicles meeting certain requirements. The requirements are as follows:

  • The vehicle used 5,000 highway miles or less during the period. 
  • The vehicle is an agricultural vehicle and used 7,500 miles or less during the period.
  • The Vehicle was stolen during the period
  • The vehicle was destroyed during the period
  • The vehicle was sold during the period 

The above list leads us to the importance of Form 8849. If any of the above is true about a vehicle you own/owned then you must first file a Form 2290, pay the correct amount of Heavy Vehicle Use Tax (HVUT) and then complete the Form 8849.

Form 2290Claims and Refunds

In order to claim credits or refunds for vehicles stolen, destroyed, sold, or only used for 5,000 miles or less and 7,500 miles or less for agricultural vehicles, the Form 8849 is required. The

 things you’ll need to file a Form 8849 are your name, address, details on the vehicle you are seeking a claim/refund for and your Employee Identification Number (EIN). Be sure to double check that the EIN you are using is consistent with what the IRS has on file.

*If an EIN is needed you are able to apply for one online with the IRS.

What’s on your mind? The fact that it’s a hot and humid summer, the fact that Labor Day is right around the corner, or the fact that your Heavy Vehicle Use Tax (HVUT) Form 2290 due date is August 31st? For those not looking at a calendar, that is this Friday!

Sooo if your mind isn’t on the Form 2290 deadline, then it should be, for at least 5 minutes, because that’s all it takes to quickly and conveniently file your IRS Form 2290 with ExpressTruckTax. Once filed with the IRS, you will receive a copy of your stamped Schedule 1 via email within minutes. 

All About Your HVUT Form 2290

So what exactly is the HVUT Form 2290? It is the tax assessed on the use of public highways by heavy vehicles with gross weights of 55,000 pounds or more. The truck tax collected is used to repair, maintain, and build public highways.

If a taxable highway motor vehicle is registered in your name in the United States, the District of Columbia, Canada, or Mexico you must file an HVUT Form 2290.

A taxable highway motor vehicle is any vehicle with a gross weight of 55,000 pounds or more and includes any self-propelled vehicle designed to carry loads over public highways, regardless if it’s designed to perform other functions. A taxable vehicle consists of a chassis or a chassis and a body but does not include the load.

The current HVUT tax period began on July 1, 2018, and will end on June 30, 2019. The HVUT is based on your first use month and is due by the last day of the month following the first use month.

For example, if you first use your truck in October, then your Form 2290 will be due by November 30th. However, if your current vehicle was in use during the previous tax year, you are required to file by the August 31st deadline.

Attention Truckers! Your IRS Form 2290 is Due FridayOnce you file Form 2290, you will receive a copy of your stamped Schedule 1 which serves as your proof of payment for your truck tax. It actually has a digital watermark stamp that includes the time that the IRS approved and accepted your IRS Form 2290. To remain operational, you are required to have a stamped Schedule 1. You will need it to register any new vehicles and to renew your current vehicle tags. Without it, you will be operating illegally.

Provide your banking information (account and routing number) through ExpressTruckTax’s safe and secure system to authorize the IRS to debit the amount you owe from your bank account. It is important that your account has enough funds to cover the amount you owe.

The amount is generally withdrawn in 24 to 48 hours after providing authorization. Keep in mind that this involves your banking information, not your credit/debit card number.

If you need to cancel your payment contact IRS payment services at 1.888.353.4537 at least 2 days before the payment date.

EFTPS (Electronic Federal Tax Payment System) is the electronic tax payment system used by the IRS. If you choose this payment option you will be taken to the EFTPS site, and you’ll create a free account. Please keep in mind that it can take up to 10 business days to establish this type of account.


To pay the IRS through EFTPS, you will provide your bank account information and verify that the IRS is allowed to withdraw your tax payment from that account. In order to make your payment by the deadline, you must schedule it before 8 p.m. the day before the deadline for it to be received by the IRS in time.

Check or Money Order


You can also pay the amount of HVUT you owe with a Check or Money Order. If you choose this option you will need to print your completed payment voucher, 2290-V, from page 11 of your completed 2290 Form and mail to the IRS by the August 31st deadline.

Make your check or money order payable to the United States Treasury. Also, you will need to include your name, address, EIN, the date, and the words “IRS Form 2290” with your payment.

Do not staple your payment and voucher together.

Remember, never send cash through the mail.

Important: If you have already paid your HVUT via Direct Debit or EFW and received a letter from the IRS saying they were unable to debit the funds there are a few likely causes:

- Your account and routing number were entered into ExpressTruckTax incorrectly. Even entering one character incorrectly will prevent the IRS from being able to withdraw the amount you owe.
- The IRS tried to debit your account, but you had insufficient funds. If you are even as little as 50 cents short then the IRS will not debit the funds.

If you receive a letter from the IRS saying they could not withdraw the funds from the bank account provided then you will need to send a check or money order to the IRS in order to pay the amount you owe by the August 31st deadline.

How to File Your 2290 With ExpressTruckTax

 Step 2: When you’re ready to file click the orange ‘Start New Return’ button and enter the basic information for your business such as the name, address, and EIN or Employer Identification number. Remember, you need an EIN to file and can apply for one with the IRS online. It will take about two weeks for it to update in the IRS’s system.

Step 3: Then you’ll enter your tax year and your vehicle’s first used month. Form 2290 is filed based on your vehicles first used month and is due the last day of the month after it’s first used month. For example, if you first use your vehicle in April then your Form 2290 is due on May 31st. Then you’ll file annually by the August 31st deadline.

The current tax period runs from July 1st, 2017 until June 30th, 2018, and your schedule 1 for the 2016-2017 season expired on June 30th, 2017.

Step 4: Next you’ll enter information for your vehicle including the Vehicle Identification Number (VIN) and taxable gross weight. You’ll also select if your vehicle was used for any special purposes such as logging or agricultural uses. Remember suspended vehicles must be filed for as well.

Step 5: Relax as we calculate how much you’ll owe the IRS for you, so you’ll know exactly how much to pay. Then select one of the following payment options to pay the IRS: Direct Debit or Electronic Funds Withdrawal, EFTPS, Check or Money Order.

Step 6: You’ll be presented with a summary of your information to make sure all of your information was entered correctly. VINs for example, are the number one Form 2290 mistake. Then our system will perform audit check on your form to catch any basic errors.

Step 7: Once any corrections have been made and you’re ready to transmit your form directly to the IRS enter a 5-digit code of your choice at the bottom of the form to electronically sign and transmit it.   

Step 8: Do your happy dance because depending on IRS volume in about 10 to 15 minutes you’ll receive a copy of your stamped Schedule 1 via email. You can also elect to receive a copy via text and postal mail.

We're Accepting 2290 Returns Before The IRS

The 2290 season is officially here! Usually, the IRS begins accepting returns on July 1st, but since that's a Saturday they won't let you file until the next business day,  Monday, July 3rd.

However, you don't have to wait, because you can file your 2290 with ExpressTruckTax tomorrow, on July 1st. This means you can go ahead and get your 2290 out of the way so you can enjoy your July 4th holiday!

HVUT 2290 Reminders


- If you own a heavy vehicle with a taxable gross weight of 55,000 pounds or more then you’re required by law to file your HVUT Form 2290 in order to get a copy of your stamped Schedule 1, which serves as your proof of payment. You must file for all taxable highway motor vehicles that are required to be registered in your name under state, District of Columbia, Canadians, or Mexican law. 

- For new vehicles, your Form 2290 is due on the last day of the month after your first use month. For example, if you first use your new truck in October then your 2290 would be due on November 31st. Then you will renew it annually by the August 31st deadline. Your schedule 1 for the previous tax period will expire on June 30th.

- In order to complete your 2290 Form you need your business name, and address (your personal details will work if you’re a sole proprietor), and EIN (Employer Identification Number). For your vehicle you’ll need your first use month, VIN (Vehicle Identification Number), taxable gross weight, and be sure to include if your vehicle was used for any special purposes such as logging or agricultural uses. 

- Suspended vehicles must be included when you file. A suspended vehicle is one that is expected to be used for 5,000 miles or less (7,500 miles for agricultural vehicles). Suspended or credit vehicles also include ones that were destroyed, stolen, or sold.

- You have to file your Form 2290 and you have to pay your HVUT to the IRS. Your payment options include direct debit or electronic funds withdrawal (EFW), EFTPS (Electronic Federal Tax Payment System) or check or money order.

But what happens when you e-file truck tax Form 2290 only to find out it was later REJECTED by the IRS? The last thing you want to find out is about a rejected 2290 on the truck tax due date!

Today, we’re going to examine why your 2290 may be rejected.

Rejected Because of EIN


Sometimes, filers will find that their Employer Identification Number is the source of their rejection.

This can sometimes happen if the EIN that you entered doesn’t match the EIN the IRS has on record.

If that’s the case, you need to contact the IRS directly to find out what information they have in their system.

If you have a brand new EIN, it will take on average about 10 business days for the EIN to register in the IRS system for you to e-file.

If you try to e-file your 2290 the same day that you receive your EIN, it will be rejected and the reason will be the "EIN does not match business name".

After your new EIN is registered in the IRS system, you can simply re-transmit your 2290 return (for free) and it should be accepted as long as there aren’t any more errors.

Rejected Because of Duplicate Filing


Your 2290 can only be accepted by the IRS one time. If you receive this particular rejection, it means your 2290 has already been filed and confirmed by the IRS.

The good part about this rejection, is that it requires no fix because your return has already been filed!

Rejected for Routing Issues


If you face a Routing Transit Number Rejection, it has to do with your payment. If you paid using the Electronic Funds Withdrawal (EFW) option, a bank routing number is required.

If the wrong information was entered for your routing number, your 2290 will be rejected. You can correct the routing and re-transmit to the IRS and should receive confirmation of acceptance in only a few minutes.

Note: If you entered the incorrect routing number or bank account number and the return is accepted, it is up to you to contact the IRS to resolve the issue. For best practices, always double check your numbers before transmitting your return to the IRS.

Taxable Vehicle Information


What makes a taxable vehicle… taxable? A highway motor vehicle includes any self-propelled vehicle designed to carry a load over public highways and roadways, and can be designed for additional functions, as well.

A vehicle consists of a chassis and body, but excludes the load. No matter what the vehicle is designed for — whether it's a highway passenger transportation vehicle or a designed special kind of cargo, there will need to be a 2290 filed for it.

Employer ID Numbers


An Employer Identification Number (EIN), also known as a Federal Tax Identification Number, is used to identify a business entity. Generally, businesses need an EIN.

You need an EIN to file Form 2290. You can apply online to receive your EIN. If the customer has recently applied and received EIN from the IRS, it takes about 15 days to get into the e-file system. If you e-file your 2290 during this period, the IRS will reject the filing.

Correct Vehicle Identification Numbers


Another important requirement for Form 2290 is your vehicle identification number. Your VIN identifies the individual truck you are e-filing your HVUT 2290 for.

Form 2290 HVUT Requirements

The heavy vehicle use tax or HVUT is an annual fee assessed on heavy vehicles operating on public highways at registered gross weights equal to or exceeding 55,000 pounds. The gross taxable weight of a vehicle is determined by adding the unloaded weight of the motor vehicle and any trailers together with the maximum load customarily carried on-road by the truck-trailer combination. IRS Form 2290 is filed annually to pay the HVUT due on the taxable vehicle and proof of payment is the Stamped Schedule 1. The monies collected are used to offset the cost for road repairs and maintenance.

Suspended vehicles (Category W) are still required to file a Form 2290, even though there is no tax due.  A vehicle is considered suspended if the motor vehicle does not exceed 5,000 miles or 7,500 miles for agricultural vehicles during the tax period, regardless of owners.

An agricultural vehicle is any highway motor vehicle that is:
  • Used (or expected to be used) primarily for farming purposes, and
  • Registered (under state laws) as a highway motor vehicle used for farming purposes for the entire period. A special tag or license plate identifying the vehicle as used for farming is not required for it to be considered an agricultural vehicle.

Also note that logging vehicles are taxed at a reduced rate.

There are some vehicles that are exempt from the tax and are not required to file Form 2290. They are:
  • The Federal Government,
  • The District of Columbia,
  • A state or local government,
  • The American National Red Cross,
  • A nonprofit volunteer fire department, ambulance association, or rescue squad,
  • An Indian tribal government but only if the vehicle's use involves the exercise of an essential tribal government function,
  • A mass transportation authority if it is created under a statute that gives it certain powers normally exercised by the state,
  • Qualified blood collector vehicles (see below) used by qualified blood collector organizations, or
  • Mobile machinery that meets the specifications for a chassis
