What’s on your mind? The fact that it’s pretty hot and humid at this point during the summer, the fact that Labor Day is almost here to enjoy, or the fact that your Heavy Vehicle Use Tax (HVUT) Form 2290 is due by next Thursday, on August 31st?

All About The HVUT


So what exactly is the HVUT? It is the tax assessed on the use of public highways by heavy vehicles with gross weights of 55,000 pounds or more. The taxes collected are used to repair, maintain, and build public highways.

You must file HVUT Form 2290 for every taxable highway motor vehicle that is required to be registered in your name under state, District of Columbia, Canadian, or Mexican law at the time of its first use period.

A taxable highway motor vehicle is one with a taxable gross weight of 55,000 pounds or more and includes any self-propelled vehicle designed to carry loads over public highways, regardless if it’s designed to perform other functions. A taxable vehicle consists of a chassis or a chassis and a body but does not include the load.

The current HVUT tax period began on July 1, 2017, and will end on June 30, 2018. The HVUT is based on your first use month and is due by the last day of the month following the first use month. For example, if you first use your truck in October then your Form 2290 will be due by November 30th. Forget to File Form 2290? You're Going to Face Penalties!

The clock is seriously ticking! Every time a moment passes then we are getting even closer to the
Heavy Vehicle Use Tax (HVUT) deadline on August 31st. You still have about two weeks to file, but don't wait. You should still file as soon as you can.

If you run into errors and your form gets rejected then you will be responsible for correcting your form and retransmitting it by the deadline. If your Form 2290 or HVUT payment is late you will have a few penalties to face.

HVUT Penalties


You may not receive a penalty for filing your return or paying the amount of HVUT tax you owe by the deadline if you are able to show reasonable cause for not filing or paying on time. If your file after the deadline be sure to attach an explanation to your return to show reasonable cause. The reasonable cause may then be accepted or rejected by the IRS.

Now the penalty for failing to file your HVUT IRS Form 2290 by the August 31 deadline is equal to 4.5% of the total tax due, and this penalty will accrue on a monthly basis for up to five months. The penalty for not making a HVUT payment is a monthly fee of .5% of the total tax due. You will also face an additional interest charge of .54% per month. This penalty can make the amount you owe increase pretty quickly.

Note: There are also penalties for filing fraudulent or false returns.

In addition to these federal penalties, your state may suspend your vehicle registration until you can provide proof of your HVUT payment. Your stamped Schedule 1 serves as your proof of payment, and you receive it by filing Form 2290. You need a stamped Schedule 1 to renew your tags and register new vehicles. Without it, you will be operating illegally.


How To File HVUT Form 2290

Common Reasons for Form 2290 Rejections

If you wait until the last minute to file and your form is rejected then it’s up to you to correct it and retransmit it to the IRS in time, otherwise, you will face late filing penalties.

Why 2290 Forms Are Commonly Rejected


EIN Problems

You need an EIN or Employer Identification Number to complete your Form 2290. There’s no way around it. Once you place your SSN in place of your EIN on your form then it will instantly be rejected.

If you need an EIN go apply for one with the IRS now because it takes about two weeks for them to become updated in the IRS’s system and your form can get rejected during that time. Duplicates will be rejected, so make sure that you’re filing for the current tax period which runs from July 1st, 2017 to June 30th, 2018. If you accidentally filed for the previous tax period then that could be why your form is considered a duplicate.

RTN Errors

You can pay the amount of HVUT you owe to the IRS through direct debit or electronic funds withdrawal, and that process involves providing your bank account number and RTN (Routing Transfer Number).

If you enter this information with as little as one character off the IRS will not be able to debit the funds and your form will be rejected. This is also the case if you do not have enough funds in your account to cover the full amount.

Your HVUT Form 2290 Is Due This Month!

Sound the alarm, your Heavy Vehicle Use Tax (HVUT) Form 2290 is due this month! That means time is officially running out and you need to file by the August 31st deadline in order to avoid getting faced with major penalties.

However, you don’t have to panic, ExpressTruckTax, your number 1 Form 2290 e-file provider is here to help with a few tips for you to remember when you quickly and easily file.

2290 Filing Tips


1. Slow down and enter all of your information correctly to avoid having your form rejected over a simple typo. VINs (Vehicle Identification Numbers) for example, consist of 17 characters with both letters and numbers, so they can be easy to mix up. Plus, the font is usually pretty small and hard to read, so bust out your glasses if you need to.

The letters I, O, and Q are not found in VINs to prevent confusion. So an I is a 1 and an O is a 0. Also, there are no spaces in your VIN. If you need to correct your VIN don’t worry, ExpressTruckTax lets you quickly and easily make VIN corrections for free.

2. Go ahead and get your EIN (Employer Identification Number) now if you need one. If you don’t have one then you need to apply for one with the IRS online. IRS Form 2290 HVUT Payment Options

Every minute the August 31 deadline for your Heavy Vehicle Use Tax Form 2290 creeps a little closer. It’s already the last week of July, and the deadline will be here before you know it, so be prepared to file. Also, be sure to keep in mind that not only do you need to file by the deadline, but you need to pay the amount of HVUT you owe by the deadline as well, and you have a few different payment options.

How to Pay Your HVUT?


While filing your 2290 with ExpressTruckTax you’ll follow a step-by-step guide to complete your form in a matter of minutes. Once you get to the IRS payment step you can choose between 3 different payment options based on the most convenient method for you.

1. Direct Debit or Electronic Funds Withdrawal (EFW), is the payment option where you provide your banking information (account and routing number) through ExpressTruckTax’s safe and secure system to authorize the IRS to debit the amount you owe from your bank account. It is important that your account has enough funds to cover the amount you owe.

The amount is generally withdrawn in 24 to 48 hours after providing authorization. Keep in mind that this involves your banking information, not your card number. The IRS will not accept credit cards.

If you need to cancel your payment contact IRS payment services at 1.888.353.4537 at least 2 days before the payment date.

2. EFTPS (Electronic Federal Tax Payment System) is the electronic tax payment system used by the IRS. If you choose this payment option you will be taken to the EFTPS site, and you’ll create a free account.

In order to pay the IRS through EFTPS, you will provide your bank account information and verify that the IRS is allowed to withdraw your tax payment from that account. In order to make your payment by the deadline, you must schedule it before 8 p.m. the day before the deadline for it to be received by the IRS in time.

3. You can also pay the amount of HVUT you owe with a Check or Money Order. If you choose this option you will need to print your completed payment voucher, 2290-V, from page 5 of your completed 2290 Form and mail to the IRS.

Make your check or money order payable to the United States Treasury. Also, you will need to include your name, address, EIN, the date, and the words “IRS Form 2290” with your payment. Do not staple your payment and voucher together.

Remember, never send cash through the mail. 

Send your payment and voucher 2290-V to:

Internal Revenue Service,
P.O. Box 804525,
Cincinnati,
OH 45280-4525.

Important: If you have already paid your HVUT via Direct Debit or EFW and received a letter from the IRS saying they were unable to debit the funds there are a few likely causes:

- Your account and routing number were entered into ExpressTruckTax incorrectly. Even entering one character incorrectly will prevent the IRS from being able to withdraw the amount you owe.

- The IRS tried to debit your account, but you had insufficient funds. If you are even as little as 50 cents short then the IRS will not debit the funds.

If you receive a letter from the IRS saying they could not withdraw the funds from the bank account provided then you will need to send a check or money order to the IRS in order to pay the amount you owe by the August 31st deadline.

Know Your 2290 Vehicle Types: Suspended, Agricultural, Logging, Etc.

With the Heavy Vehicle Use Tax Form 2290 deadline on August 31st quickly approaching we’re here to help with tips about the filing process, and where you can find some savings. We don’t want you to pay more than you have to. Plus, we want you to get the highest amount of credits that you can to claim a refund!

That’s why we’re discussing the different types of 2290 vehicles today. Some are subject to lower tax rates, will give you credits, and are even exempt from the HVUT all together!

2290 Vehicles 


It’s important to be aware that all of your qualifying highway motor vehicles with a taxable gross weight of over 55,000 pounds or more must be reported on your Form 2290. The weight includes the vehicle’s chassis or the chassis and body, but not the load.

Qualifying vehicles include any self-propelled vehicles that are designed to carry loads on public highways, regardless if they’re designed to perform other functions or not. A few examples of other functions include being designed to carry special good or supplies, to carry passengers, or to carry permanently mounted equipment.

Logging Vehicle


This one is pretty simple. A logging vehicle is one that is exclusively used for the transportation of products like timber (logs) harvested from forested sites, or it exclusively transports products harvested from the site to and from locations within the forested site.

It’s important to list your vehicle as a logging one if it qualifies because logging vehicles are subject to lower tax rates than other heavy vehicles. Just keep in mind that your vehicle must be registered as a vehicle exclusively used for logging accordingly to the applicable vehicle registration laws in your state. 

Agricultural Vehicles


Agricultural vehicles are any highway motor vehicles that are used or expected to be used primarily for farming purposes. They must be registered under state laws are a highway motor vehicle used for farming purposes during the entire tax period.

A qualifying agricultural vehicle is one that is used for farming purposes for over half of the vehicle's use, based on mileage, during the tax period. These vehicles also require special tags or license plates to identify them as agricultural vehicles and are considered to be different from logging vehicles.

Agricultural vehicles count as suspended or credit vehicles if they’re used for fewer than 7,500 miles during the tax period.

Suspended Vehicles


A suspended or credit vehicle is a highway motor vehicle that is expected to travel less than 5,000 miles or less (7,500 miles or less for agricultural vehicles) during the tax period. This mileage limit applies to the total amount of miles it’s driven on the road, regardless of the number of owners.

Other suspended or credit vehicles include those that were sold, destroyed, or stolen and they must all be reported on your 2290. If they exceed the mileage limit during the tax period then you’ll owe HVUT for them.

2290s And EINs: Everything You Need To Know

The Heavy Vehicle Use Tax season is coming right at us at full speed! You can try to jump out of the way, but you’ll still need to file your Form 2290 by the August 31st deadline. Don’t let the deadline run you over. Be prepared and file as soon as possible to avoid having your form rejected. For example, it’s very important to know that you’re required to have an EIN.

What to Remember About Your EIN?


Your EIN or your Employer Identification Number is also known as the Federal Tax Identification Number and the Federal Employer Identification Number or FEIN. EINs are assigned to businesses operating in the United States in order to identify them for tax reporting purposes. Each EIN consists of a unique 9 digit number.

This is important because you are required by the IRS to have an EIN to complete your 2290. They need it to identify you to correctly verify that you’re filing for yourself and to prevent fraud.

There may be some confusion when it comes to EINs and Social Security Numbers (SSN) because they’re both 9 digit identification codes. However, EINs are used to identify businesses, and social security numbers are used to identify individuals. Also, the IRS used to accept SSNs in place of EINs on Form 2290s, but that is no longer the case. If you use your SSN in the EIN field your form will be rejected.

Also, when it comes to the information on your 2290 such as your business name and address, it will need to match what the IRS has on file or it could be rejected. You can see if your information matches what the IRS has on file by contacting the IRS directly at (800) 829-4933.

If you don’t have an EIN you can apply for online for free with the IRS here. Once you finish applying you will instantly receive your 9 digit EIN, but please keep in mind that it will take about 15 days for your EIN to update in the IRS’s system and your 2290 could be rejected during this time.

Each EIN is is a unique code that never expires. However, as a sole proprietor you may need a new EIN if you’re subject to a bankruptcy proceeding, you incorporate, you take in new partners and operate as a partnership, or you purchase or inherit an existing business.

5 Common HVUT E-Filing Mistakes

1. Entering Your VIN Incorrectly. Slow down, you need to make sure that all of your information gets entered correctly. Vehicle Identification Numbers consist of 17 characters that include both numbers and letters, so they can easily get mixed up.

Plus, VINs have incredibly small print. We often find ourselves squinting to reference our own! It might be hard to see if something is a 1 or an I, or a 0 or an O, so bust out your glasses to take a really good, close look at your VIN. After you enter it on your form double check it to makes sure that it’s correct.

2. Waiting too long to get your EIN. Sometimes people don’t realize that they need an EIN or Federal Tax Identification Number to file their 2290. Your EIN also serves as your Employment Identification Number.

You can apply for an EIN with the IRS directly, but keep in mind that it takes at least 15 days for your EIN to be added to the system. So, if you file your 2290 and apply for your EIN too close to the deadline, then your form could be rejected. If you need an EIN don’t wait til the last minute!

Some people ignore the fact that they need an EIN and put their SSN number in the field. The IRS no longer accepts Social Security Numbers in place of EINs! 

3. Mismatching mistakes. Keep in mind that your business name, address, and EIN has to match what the IRS has on file. You can call the IRS directly to verify your information.

4. Don’t enter the wrong tax year. It’s really easy to put the wrong year on checks, dates, important forms, and more! While you can e-file for 2290’s for previous years, if you want to file for the current tax year, which is July 2016 - June 2017, make sure you have those dates correctly selected.

5. Filing is put off until the last minute. No one wants to deal with taxes, so they wait as long as they can to file them, which usually results in filing too late or finding out that your form needs corrections that you don’t have enough time to make before the deadline.
